Tour Booking Terms
and Conditions
Black Ibex Expeditions accept bookings subject to the following
Terms and Conditions - please read carefully
1. Booking and payments
In order to confirm your place on a tour you will need to return a completed booking form with a deposit of US $200 per person. On receipt of your deposit, we will send you confirmation of your booking along with details for the payment of the balance. The booking will not be accepted and no contract raised until the deposit is received.
The balance is due 8 weeks prior to the departure date. If you are booking within the 8 weeks of the tour start date, then full payment is required at time of booking. If the balance is not paid by the due date, Black Ibex will treat the booking as cancelled and apply the cancellation charges as detailed below. The Company will not accept responsibility for any monies sent by post. Payment can be made by bank transfer, international money transfer services or VISA and MasterCard.
2. Cancellations
A $100.00 service charge will be assessed on cancellations received at least sixty days prior to departure. Otherwise the deposit is non-refundable unless credited towards another trip departing within one year. If you cancel your booking after you have paid in full the following cancellation charges will be made:
between 43 and 59 days before departure:........20% of the tour cost
between 29 and 42 days before departure:........25% of the tour cost
between 15 and 28 days before departure:........ 30% of the tour cost
14 days or less before departure (or fail to join the tour):…….50% of the tour cost
Minimum charge for cancellation is your deposit of $200.
These dates refer to the date we receive written notification of your cancellation. We strongly recommend you protect yourself by purchasing travel insurance. We have very rarely had to cancel a tour but reserve the right to do so for any reason. If the tour is cancelled by us, all payments will be returned in full.
3. Prices
Scheduled tour prices are based on minimum of 4 people. If there aren’t enough people, we will be able to run these tours privately with an extra cost of USD 100-300 per person depending on number of people and departures. There must be a minimum number of 2 people for these private tours. The hotel charges in tours are based on twin room. Single room supplement is available upon your request. All extra charges and optional activities not mentioned in the tour itinerary must be paid by you.
4. Passports and Visas
Clients must ensure that they are aware of all relevant passport and visa requirements and that they allow adequate time to obtain them. You can obtain visas from the Mongolian embassy or consulate in your country using our tour confirmation letter after the booking deposit is received. If there is no Mongolian embassy or consulate in your country, one month-long visas can be obtained on the spot once you arrive at the airport or railway station in Ulaanbaatar. You will need an official confirmation letter from Black Ibex Expeditions if you choose to do this. 5. Insurance
At Black Ibex we believe that your safety and enjoyment are the most important things. Comprehensive travel insurance is essential, therefore, whenever you travel abroad. We recommend you that you should arrange own travel insurance.
6. Your responsibilities
Your booking is accepted on the understanding that you realize the inherent risks and hazards of the tours and agree to take responsibility for your actions and safety.
On the tours it is necessary that you agree to abide by the authority of the tour guide who will be working to ensure the safety and welfare of the group. Any action that jeopardizes this may result in you being asked to leave the tour with no right to a refund or any compensation.
Special requests and any medical issues or conditions must be brought to our attention at the time of booking. We cannot be held liable for any actions or events that could have been avoided with proper disclosure of information.
Personal property is always your own responsibility, as is ensuring that you have all the appropriate passport and visa requirements for the duration of the tour.
Smoking is not permitted in any vehicle.
7. Our Responsibilities
Black Ibex's responsibility only starts at the designated meeting point and time i.e. when you meet the tour guide in Ulaanbaatar, capital city of Mongolia. We cannot be held liable for any expense or inconvenience before that, or as a result of you failing to join the tour at that time.
We are not responsible for any terrorist attacks, political unrest, war, earthquakes, landslides, cancellations or delays of airlines and train companies.
8. Itineraries and tour details
The itineraries should be taken as an indication of what each group should complete and not as a contractual obligation. The nature of the tour requires a flexible approach to the stated itinerary and all participants should accept this flexibility and acknowledge that delays and alterations and their results (such as inconvenience or disappointment) are possible.
No refund or compensation will be given for any unused transport, accommodation, services or features of the tour.
All details are accurate at time of going to press and any significant alterations will be brought to your attention at time of booking.
9. Complaints
Any problems or complaints about the tour should be raised with the tour guide at the earliest opportunity and they will normally be rectified or appropriate action taken.
10. Legal term
All terms and conditions are made subject to, and enforced by, Mongolian law and must be done so in a Mongolian court. If you require further action on return we will try and work towards an agreed settlement but you must notify us in writing within 21 days of the completion date of the tour.
